Job Title: Sr Executive HR (Job will be in Corporate Office)
General Description:
The Human Resource Officer is responsible for providing support in the various human resource functions, which include recruitment, staffing, training and development, performance monitoring and employee counseling.
1. Recruitment at H.O. & at Factory and Sales Force on PAN India Basis
a. Sourcing Candidates (Databases, Advt., and Referrals etc.)
b. Interviewing Candidates upto middle management
c. Selection of candidate
d. Post Selection Documentation & Filing
e. All Requisites and Joining formalities to be completed
f. Agreements with Consultants on PAN India basis
2. Induction
a. Inducting the new Employee
b. All joining formalities and documentation checks
c. Conducting the Induction program - to make them understand the company and company culture
d. Conducting orientation program to new employees.
e. Ensure Drafting of Offer and Appointment letters and maintaining track of the same.
3. Training & Development
a. Creating the Training calendar
b. Co-ordinating all Training activities for the staff
c. Maintaining all Training records
d. Conducting Basic Training if required
e. Tie up with Trainers/Training companies for imparting training
f. Training needs analysis
g. Ensuring that all Training activities for the staff are undertaken smoothly and that each employee has undergone the requisite man days of Training
h. Analysis of Training effectiveness
i. Coordinates and liaises with external consultants on employees' training needs and arranges training schedules for employees.
j. Evaluating the effectiveness of the respective training programmes by obtaining feedback from employees.
k. Maintaining training logs and all training activities.
4. Salary Management & Payroll
a. Overseeing the time attendance system
b. Providing HR inputs to Payroll
c. Overseeing the payroll operations for Factory as well as Head Office
d. ESIC, PF, PT and other such statuary requirements filing to take place from time to time
e. Gratuity and Retirement Compensation to be managed by the HR executive
f. Maintaining and Circulating Salary Slips. Ensuring TDS returns for all employees.
5. Staff Welfare Activities
a. Celebrating staff Birthdays
b. Perks and Benefits at all different levels to be identified and incorporated.
c. Staff Games and Competitions
d. Appreciating Staff for good work done in the month.
e. Employee Engagement Activities
f. Employee motivating activities to be conducted to induce higher productivity.
g. Attends to employees' grievances and complaints; provides guidance if necessary. - to be conducted semi-annually.
h. Initiate planning of Annual and informal gatherings and meets.
i. Quarterly magazines for the company could be planned.
6. HR Administration and Information system
a. Draft job descriptions for various other positions in the company with minimum qualification and job experience to be designed with managers and supervisors as needed.
b. Maintain job description file.
c. Career planning programme for all employees to be conducted.
d. Ensure adherence to all HR policies as per HR handbook, and keep updating the HR policies as per changing norms of the company. i.e. Entitlements Handbook, Panetary expenses
e. Assists Accountant in planning and preparing annual headcount report and updating the organization chart
f. Maintaining Staff Records
g. Generating various reports. i.e. Attrition Rate, Efficiency Rate, etc.
h. Involve in quarterly/yearly manpower planning and expansion
i. Ensure all bulletin boards are in place and maintained for any important announcements.
7. Performance Management System and Appraisals
a. Creating the Performance Management System of the Company and keeping track of progress of all employees on quarterly basis.
b. Appraisals formats and filings to be in place.
c. Ensuring that the appraisals are completed on time
d. Analyzing the appraisal ratings.
e. Salesmen appraisals would be very vital.
f. Benefits and perks could also be planned. i.e. SODEXO and etc.
g. Assists in drafting out Annual Letter and Promotion Letter
8. Exit Interview
Exit interview to be conducted and ensure all formalities are completed while leaving the company. i.e. Password of mail-ID and etc)
9. Employee Counselling
a. Answer general human resources-related inquiries from staff.
b. Resolve all Disputes between the staff
c. Responsible for overseeing all discipline
d. Monitor Code of Conduct on -
i. Conflict Management
ii. Grievance Redressal
iii. Disciplinary Misbehaviour & Misconduct
iv. Sexual Harassment Issues
10. Management
a. Providing feedback to the management to enhance a better and cordial working environment.
b. Organizing corporate events such as Company's Dinner, Corporate Trip, Family Day etc.
c. Ensure drafted mails to concerned departments after conferences or major events
d. Mails to all Customers, Suppliers, Employees and Outsourced partners of the company on all occasions and festivals.
e. Arrangement for gifts and other necessities during important festivals. i.e. Diwali, New Year and etc.
f. Bring to the notice of the management, any major disputes or problems within the organization
g. Proposes year-end salary increment to the top management.
11. Legal & Insurance
a. Ensure all statutory requirements are in place for the HO and Plant.
b. Would be needed to draft and review agreements and MOU's from time-time
c. All Insurance papers to be maintained and renewed from time-time.
d. Incorporate new Insurance policies for Employee benefit and Company benefit.
12. ISO and other certifications
a. Ensure renewal of all certifications.
b. Help the company in acquiring new certificates.
c. Ensure internal and external audits for all compliances
d. Internal audits for all SOP's
e. Preparation of all training & development documentation as per ISO 9001 and 14001
